Privacy Policy
1. Introduction
RODMENA LIMITED ("we", "us", "our") is committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This policy explains what personal data we process when you use this website or contact us, and the rights you have over it.
We are the data controller for the processing described here. Our registered office is 14 Keppel Row, America House, Flat 2, London, England, SE1 0FB (company number 16472788).
For mobile applications: if you are using any of our mobile applications, please refer to the mobile-specific privacy policy at rodmena.app/privacy.html.
2. Information We Collect
2.1 Information you provide
- Contact details (name, email address, organisation) and your message when you email us or send the contact form. The form is submitted to this website: we store the submission on our own server so that a delivery failure cannot lose it, and relay it by email to the RODMENA desk you selected. We also record the IP address the submission came from, to rate-limit abuse. Submissions are kept for 90 days and then deleted.
- The content of your correspondence with us
2.2 Information collected automatically
- Standard web-server logs on our self-managed servers: IP address, requested URL, time, browser user-agent. We use these solely for security monitoring and operations, and they are routinely rotated and deleted.
We do not use analytics, advertising or tracking technologies of any kind on this website.
3. Legal Basis for Processing
- Legitimate interests: responding to enquiries, operating and securing our website and business
- Contract: taking steps you request before entering a contract, and performing contracts
- Legal obligation: where we must keep records or comply with the law
- Consent: where you have explicitly given it (you may withdraw it at any time)
4. How We Use Your Information
- To respond to your enquiries and manage our business relationship
- To provide, secure and improve our services
- To comply with legal and regulatory obligations
We do not sell personal data, and we do not use it for automated decision-making or profiling.
5. Data Retention
We keep personal data only as long as needed for the purposes above: business correspondence for as long as we have an active relationship or a legitimate need to retain it; server logs for a short rolling period; and records we must keep by law (for example accounting records) for the statutory period.
6. Data Sharing and Disclosure
We do not sell or rent personal data. We share it only with:
- Service providers who support our operations, listed as sub-processors on our Trust Centre
- Professional advisers (legal, accounting) under confidentiality
- Authorities where disclosure is required by law
7. Third-Party Content
This website's pages are rendered in advance and served from our own domain, and every asset they use — the stylesheet, the fonts and the small scripts that switch the theme and enhance the ecosystem map — is served from rodmena.com as well. No third-party content-delivery network, font service, analytics or advertising script is loaded.
There is one disclosed exception: our Cyber Essentials certificate badge, shown in the footer of every page and on the Trust Centre. It is the scheme's certification mark, served live by BlockMark Technologies Ltd (registry.blockmarktech.com) and linked to our public certificate record. When a page with the badge is displayed, your browser requests the image from that service, so it receives your IP address, your browser details and the address of the page, as any web server does. Its handling of that information is governed by its own privacy notice. The badge sets no cookies, and we receive no information from it. We use it only to show verifiable proof of our certification. Any other third party a page contacts will be named here before it does so; otherwise a request leaves our domain only when you follow a link to another site.
8. International Data Transfers
We are UK-based. Where a service provider processes data outside the UK (for example GitHub, Inc. in the United States for source-code hosting), transfers are protected by appropriate safeguards such as the UK Addendum to the EU Standard Contractual Clauses or an adequacy decision.
9. Your Rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Have inaccurate data rectified
- Have data erased ("right to be forgotten") — rtbf@rodmena.co.uk
- Restrict or object to processing
- Data portability
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, email gdpr@rodmena.co.uk. We will respond within one month.
10. Security Measures
We apply proportionate technical and organisational measures: encryption in transit (TLS) for all services, least-privilege access to systems, hardened self-managed infrastructure, and minimal data holdings. Our security posture and responsible disclosure route are published on our Trust Centre.
11. Cookies and Local Storage
This website sets no cookies — first-party or third-party, including the certificate badge described in section 7 — and uses no analytics or tracking. The only browser storage we use is a single localStorage entry ("theme") that remembers your dark/light preference. It stays on your device, is never transmitted to us, and you can clear it at any time in your browser settings. Because we use no non-essential cookies or trackers, this site shows no cookie banner.
12. Children's Privacy
Our website and services are directed at businesses and are not intended for children under 18. We do not knowingly collect data from children.
13. Third-Party Links
Our website links to external sites (for example GitHub, LinkedIn, Companies House). We are not responsible for their privacy practices; please review their policies.
14. Changes to This Policy
We may update this policy from time to time. The effective date at the top reflects the latest revision, and significant changes will be highlighted on this page.
